ARC Holiday Information

ARC’s offices will be closed on Wednesday, December 25, 2019, and Wednesday, January 1, 2020, in observance of Christmas and New Year’s Day.

Holiday Ticket Modification/Voiding Schedule
The GDS void/IAR reconciliation dates for tickets issued on Tuesday, December 24, 2019, through Wednesday, December 25, 2019, will be extended until Thursday, December 26, 2019.
The GDS void/IAR reconciliation dates for tickets issued on Tuesday, December 31, 2019, through Wednesday, January 1, 2020, will be extended until Thursday, January 2, 2020.

Sales Report Submission
Because the upcoming holidays do not fall on a Monday or Tuesday, the weekly sales report submission deadlines will not be extended. Weekly sales reports for PED 12/22/19 must be authorized by 11:59 p.m. EST on Tuesday, December 24, 2019. Weekly sales reports for PED 12/29/19 must be authorized by 11:59 p.m. EST on Tuesday, December 31, 2019. Weekly sales reports for PED 01/05/20 must be authorized by 11:59 p.m. EST on Tuesday, January 7, 2020.

Emergency Document Orders
The RR Donnelley warehouse will be closed on Wednesday, December 25, 2019. Orders should be placed by 4 p.m. EST on Monday, December 23, 2019, for next-day delivery on Tuesday, December 24, 2019. Orders for second-day delivery should be placed by 4 p.m. EST on Friday, December 20, 2019, for delivery on Tuesday, December 24, 2019. Orders should be placed by 10 a.m. EST on Tuesday, December 24, 2019 to ship the same day. Otherwise, the order will be processed the next business day, Thursday, December 26, 2019.

Orders should be placed by 10 a.m. EST on December 31, 2019 to ship the same day. Otherwise, the order will be processed the next business day, Thursday, January 2, 2020.


Action Needed: Providing ARC with Contacts for Required Agency Roles

Earlier this year, a change to the Agent Reporting Agreement (ARA) took effect, requiring agencies to provide ARC with contact information for the following roles:

  • Owner or Officer Contact
  • Manager Contact
  • Operational Contact
  • Debit Memo Contact
  • Chargeback Contact

By providing this contact information, agencies enable ARC to deliver the right information to the right person at the right time. To make this process easy for you, a pop-up window appears upon sign-in to My ARC. If you have not provided contact information for all the required roles. We encourage you to complete this process by the end of 2019 so that we can better communicate necessary information to your agency.

By having this enhanced contact information for your agency, ARC will be able to more effectively manage its business relationships with you and to ensure the right people are getting the right information.

Tip of the Week: When Does ARC Auto-Submit an IAR Sales Report?

When an IAR sales report does not contain any transactions (has no activity) and has not been authorized and submitted by the standard Tuesday 11:59 p.m. ET deadline (or Wednesday 11:59 p.m. ET during a week with an ARC-recognized Monday holiday), ARC will automatically submit a "No Sales" report on your behalf.

ARC’s auto-submission of a "No Sales" report will only occur when all the previous week’s sales reports have already been authorized and submitted. All financial information on the Authorize and Submit screens of a "No Sales" report will reflect $0.00.

ARC auto-submission takes place in IAR after 3:00 a.m. ET when the system is taken down for routine daily maintenance. If you are reviewing your sales report between 11:59 p.m. and 3:00 a.m. ET and notice that your sales report has not been auto-submitted, please do not take any action. Manual submission of any sales report after the 11:59 p.m. ET will be recognized by the system as a late authorization. There will be no late authorization penalty for an unsubmitted "No Sales" report that becomes auto-authorized by ARC.
