Reminder: Obtain a Valid Authorization via the GDS

As a reminder, it is important that agents follow the procedures outlined in Section 6 of the Industry Agents’ Handbook (IAH) related to payment card authorizations:

  • Identify the ticketing airline and, at the time of ticketing, obtain an authorization (i.e., approval code) via the GDS for the exact amount of the transaction. Transactions that are not properly authorized may not be settled successfully and, as a result, the airline may not be paid. In addition, the airline could be subject to increased card acceptance costs or non-compliance fees, in which case the airline may contact the agent for reimbursement. (p. 161, IAH)

Failure to obtain a properly authorized transaction through the GDS leads to higher acceptance fees for airlines or an increase in chargebacks due to missing or invalid authorizations. These transactions often result in debit memos.

Air Namibia is Reinstated in ARC

ARC has removed all restrictions for Air Namibia (SW/186) effective August 20, 2020 (PED 08/23/2020). The airline is active and all transactions can be processed in IAR.

Effective with sales issued on Monday, August 31, 2020 (PED 09/06/2020), Airlink (749/4Z) will begin accepting American Express as a form of payment through ARC.

Air Choice One No Longer Accepts Visa or Mastercard

Effective PED 09/06/2020, Air Choice One (3E/122) no longer accepts Visa or Mastercard as forms of payment with ARC, however they continue to accept cash, American Express and Discover.

ARC will provide updates as Air Choice One seeks to find a new Mastercard and Visa processor.

ARC Labor Day Holiday Information

ARC's offices will be closed on Monday, September 7, 2020, in observance of Labor Day. Therefore, agencies will have one extra day to finalize their IAR sales report. All sales reports for PED 09/06/2020 must be authorized by 5 p.m. EDT on Wednesday, September 9, 2020.

Transactions issued in your GDS from Friday, September 4, 2020, to Sunday, September 6, 2020, may be voided or modified in the GDS or IAR until Tuesday, September 8, 2020.

Immediately following the 5 p.m. deadline, the IAR system will be unavailable from 5 p.m. to 6 p.m. EDT on Wednesday, September 9. Any sales report authorizations for PED 09/06/20 performed after 5 p.m. on that day will be considered a late submission. Any errors will be moved to the following PED and your cash disbursement may be impacted.

Emergency orders placed on September 4, 2020, will be delivered Tuesday, September 8, 2020. Please ensure you place your orders to meet your business needs.

Tip of the Week: Resetting Your Own My ARC Password

You can easily reset your own My ARC password in a simple, fast, and secure way. At the login page, look for the link that says Forgot Password?. You will need to enter your username and email address and then click Continue. On the next page, complete the security questions or scroll all the way down and click the link that states Reset your password by email. This will send an email to you that will have a link to create a new password.
