Evelop Airlines Will Begin Accepting Visa and Mastercard

Effective with sales issued on Monday, December 6, 2021 (PED 12/12/2021), Evelop Airlines SL (783/E9) will begin accepting Visa and Mastercard as forms of payment through ARC.

ARC December 2021 Holiday Information

ARC’s offices will be closed Friday, December 24, 2021, and Friday, December 31, 2021, in observance of the Christmas and New Year’s Day holidays.

Holiday Ticket Modification/ Voiding Schedule

The GDS void/IAR reconciliation dates for tickets issued Thursday, December 23, 2021, through Sunday, December 26, 2021 (PED 12/27/2021), will be extended until Monday, December 27, 2021. The GDS void/IAR reconciliation dates for tickets issued Thursday, December 30, 2021, through Sunday, January 2, 2022 (PED 01/02/2021) will be extended until Monday, January 3, 2022.

Sales Report Submission

Weekly sales reports for PED 12/26/21 must be authorized by 11:59 p.m. EST on Tuesday, December 28, 2021. Weekly sales reports for PED 01/02/22 must be authorized by 11:59 p.m. EST on Tuesday, January 4, 2022.

ARC 2022 Holiday Schedule

The ARC 2022 Holiday Schedule is now available. It can be accessed through the link in My ARC under “Resources.

This schedule presents the holidays observed by ARC, the dates on which those holidays are observed, impacts to GDS-issued transactions, GDS/IAR void extension dates, impacts to ARC Report PED, and ARC Report due dates. The 2022 ARC Holiday Schedule is effective January 1, 2022.

Please note:

  • When the day to void in the GDS/IAR falls on any ARC-recognized holiday, an extension to the next business day is automatically granted.

  • Any holiday that is not listed on the ARC Holiday Schedule is not observed by ARC; therefore, an automatic extension for any such date will not be granted.

  • When an ARC-recognized holiday falls on Monday or Tuesday, the weekly sales report is due by 5 p.m. that Wednesday (Eastern Time). Otherwise, the weekly sales report is due by 11:59 p.m. Tuesday (Eastern Time).

  • When a transaction that was manually entered into IAR must be voided, the void may only take place on the same day of IAR entry.

ARC reserves the right to make changes to the holiday schedule or sales report submission deadline. Any such changes will be communicated in advance to the travel agency community.

Upcoming ARC System Maintenance Schedule

ARC systems will be unavailable the following dates and times:

  • Sunday, December 12, 2021: 1-7 a.m. EST.

  • Sunday, December 19, 2021: 1-7 a.m. EST.

My ARC will be unavailable during these scheduled times, which means you will be unable to access My ARC or any of its tools, such as IAR and Memo Manager. Note: Document Retrieval Service (DRS) will also be unavailable on Sunday, December 5 from 1 p.m. - 10 p.m. These system outages are necessary to perform required system upgrades and maintenance.

We apologize for the inconvenience and any impact this may have on your work with ARC tools and products. The intent of this advance notice is to provide you with adequate time to make any necessary schedule adjustments. Sunday dates are selected to minimize the impact to My ARC users considering Sunday is the day of the week with the lowest level of activity. Afternoon and evening times were selected to allow morning access to systems and to allow early morning and late evening files to complete. All systems are expected to be fully operational by 10 p.m. EST each of these Sunday evenings.

We appreciate your understanding and patience as we improve and upgrade ARC systems. Please share this information with others in your organization that may be impacted by these scheduled outages.

2022 Annual Location Fees Draft Schedule

In order to operate our settlement platform, ARC maintains a 90/10 fee structure in which participating airlines contribute 90% of core costs and participating travel agencies contribute 10%. Travel agency contributions come from annual fees associated with each ARC-accredited agency location (i.e., home office location, branch) and quarterly transaction fees. The changes to travel agency fees for 2022 are outlined below. These changes have been approved by the ARC Joint Advisory Board-Agent Reporting Agreement (JAB-ARA) and by the ARC Board of Directors. All other fees, such as the return draft and late reporting fee, will remain the same in 2022.

2022 Annual Travel Agency Location Fee (AAF)

A 2022 annual travel agency location fee of $257 will be collected for each of your travel agency’s locations via electronic draft from your designated bank account on January 20, 2022. The fee may appear on your bank statement as “ARC Core Participation Fee,” though the exact wording will vary by bank. Please note:If you have not done so already, every agency must contact your bank representative and add ARC’s Company ID 9521367276. This ensures that ARC can successfully draft your 2022 annual fee. There is a $25 nonrefundable fee for all returned drafts.

There will be a separate draft for each active agency location on record as of January 2, 2022. For consolidated drafting agencies, only one draft will be assessed for all ARC-accredited locations. If your agency is going through a bank change or will be opting to voluntarily delete, please contact ARC’s Customer Care Center. You will need to finalize those details by December 17, 2021.

2022 Quarterly Transaction Fees

The 2022 quarterly transaction fees will only be applied to travel agencies that process 1,000 or more transactions in a particular quarter. The 2022 fee schedule is outlined below and in this PDF.

Tip of the Week: Managing Chargebacks

Are you looking for information on how to handle chargebacks?

Chargebacks can be challenging due to the nature of card-not-present transactions for travel purchases. Here is one of ARC’s best practices to reduce and mitigate chargebacks:

At Time of Purchase

  • Obtain a valid approval code from the credit card company at the time the cardholder acknowledges and agrees to accept a transaction, particularly for a service fee using ARC’s ARC Pay (formerly called “Travel Agency Service Fee,” or “TASF”) payment platform.

  • Ensure your agency follows all guidelines detailed in the Instructions for ARC Pay Transactions guide. Ensure you collect all recommended information at the time of the purchase.

  • Clearly display your agency’s terms and conditions to customers at the time of booking.

  • Prominently display and clearly communicate your agency’s refund and cancellation policies.

  • Provide your client with a clear understanding of what will appear on their credit card statement.

    • For example: You’ll see a charge for the $500 ABC Airlines ticket, as well as a second charge of $25 for my Agent Fee, with the descriptor “XYZ Travel.
